MEMO

TO:                  Users of Tax Department Software

FROM:            Charles Thomas, Tax Administrator

DATE:             April 9, 2001

SUBJECT:       Software Change

Users of Tax Department software will notice a change by Monday April 16, 2001.

In order to deal with the changing ways tax data is used, we are assigning a “unique” number to each parcel which is different from its pin number.

Currently the field designated as Parcel ID holds a pin number relative to a 1927 geographical reference point.  With the updating of our aerial photography, we now use a pin number relative to a 1983 reference point.  Because there are many documents in existence which refer to the obsolete 1927 pin we will retain this as a historical reference.

The field currently designated as Parcel ID will now contain a computer-generated number unique to that parcel. The Pin #  field will be the new 1983 pin.  A field shown as "Legal 3" will contain the historical 1927 pin number.

The main effect to a user will be in accessing parcels by the 1927 pin or the 1983 pin.  Rather than entering one of these pins in the Parcel ID field to access the record it will be necessary to perform a look-up (just like looking up a name).

Place the cursor in the Parcel ID field, then press the F8 key for look-up.  When presented with the look-up screen, enter the 27 pin in "Legal 3" (or the 83 pin in the "Pin" field) and the system will retrieve a list of parcels along with the unique numbers. You may then select one of the parcels by placing an "X" next to your selection.

This change will take us all some time to become acclimated to.  Thank you for your help and patience.
